   I hope this finds you all safe and as well as can be expected. Like you folks, we are trying to navigate all of this and I wanted to take a moment to confirm that what we have on file is correct. Please see report attached and review for accuracy.
   We are hoping to finalize refunds and credits with as many of our clients as possible before the end of the month. I imagine your offices will officially be reopening on Monday, 5/18/20, based on the Maryland Governor’s message earlier this week. I understand per your correspondence with both Christi and Connie since mid-March, that decisions regarding refunds and credits will be made at that time on a case by case basis. I know so many companies have changed policies and procedures as the pandemic has evolved over the past few months.
   Our first choice, as well as that of our clients, would be to have a full refund for all monies paid; however, we understand that is not always possible.  That being said, I would like to suggest the following and hope this will be acceptable:
- Gunther will retain the deposits paid by CCIS, Inc. and these funds will remain in an account for use by CCIS, Inc. through December 31, 2021.
-  Gunther will refund to CCIS, Inc. payments as detailed on the attached report.
-  Unpaid balances are not being collected.
-  Rebook charters no later than June 30, 2021.
-  Travel to commence on or before December 31, 2021.
-  Funds paid by CCIS can be used by other CCIS clients – it does not have to be the original group.

   Please be patient with us.  These refunds may take some time.  Of course, everything has cancelled and there is nothing moving!  It is going to be tough to handle.

   I understand completely and fortunately, most of our customers have been with us for years and we have a long history of doing the right thing, like Gunther. Unfortunately, we have a few groups who now have administrators involved that don’t seem to realize all the processes involved in planning all of the logistics of multi-day, large group trips, and now, un-planning them and pursuing refunds and credits.
   At this point, can we at least have confirmation from Gunther that the groups for whom we have made payments, will receive credit for future travel, in the amount of the payments made, while you continue to consider refunds?  I feel somewhat confident that if we can assure them of a credit, while refunds are still being considered, it is definitely a step in the right direction.

  I hope you are beginning to see some small signs of improvement as we all try to make it through 2020.
  I wanted to touch base, as the school year is beginning in one form or another, to see if you can provide any update on possible refunds to our groups that canceled this past Spring?  I know at one point you were hoping to be able to issue refunds, but in the interim, we agreed upon no less than credit for future travel with a book by June 30, 2021 date and travel by December 31, 2021 deadline.
  We have settled with nearly all of our clients; however, a few of the outstanding groups might be appeased if we can get Gunther to extend the credits. The continued uncertainty of what this school year may bring makes them unwilling to sign anything when credits are currently set to expire as outlined above. Obviously, a full refund is everyone’s preference; but I am writing to see if your organization will allow us to extend the credits as follows:
Trip must be booked no later than June 30, 2022
Travel must commence no later than December 31, 2022.
  This additional time may really help us get these settled and hopefully maintain a good relationship with both longtime clients and vendors.
