Can miss 3 days of school. > Last time - departed Th. at 2am, equipment truck. Took luggage, etc. Multiple flights - BWI, DC, Philly. Got there around 11-12, day 1 in park. 4 park days. 1st 2 days Disney (picked 2 parks). Friday - 2nd park all day. Saturday & Sunday - Universal Orlando. Sunday night - multiple flights. Had different times so different departure times, etc. > Stayed off property. Not super picky. But might like to be on property at Disney. With their budget, not sure if this will be possible. Probably on property at UO would be better if a good price. > Performance wise - he likes workshops. More beneficial than public performance. > Budget - Thinking $1400-$1500 including flights and airport txfrs. (last time was like $900). Got what he paid for apparently. Apparently an alum - but this was not very well done. She didn't know WTF she was doing based on the story. > We talked at length about current air prices and where they mostly fall - so he is prepared for some sticker shock. Planning to do fundraising. > Timeline - board approval this April. > We have discussed the IOG currently in DB at LENGTH. Talked about how flights work with timeline, GroupCollect, non-refundable deposits, etc. > Board meeting on 4/11 - will present trip with package price and we will do some high end estimating together on air/ground trans. so he can give a best guess of overall cost. > Board approval should come on 4/25. > Parent meeting 1st or 2nd weekend of May (should already be under K) so they can roll out GC and we can be accepting payments to be able to ask for air in mid to late May. > Airports will be BWI or Philly (like Hershey). Will need airport txfrs. in Harrisburg. > BT kinda skipped the IOG R&A process and scheduled TO meeting on 4/4 at 1:15pm. As I mentioned, he has seen (and approved) the IOG as it currently exists. We want to give the kids a bit of swim time at the hotel on Saturday night, and Sunday night we want them to get back early because of the early morning we have at the airport on Monday. If this change isn't possible, it's totally fine - but we wanted to ask. Thanks so much, John Madas" ____ BJS ____ _x__ CW _____ ___ HMS __FYI__ 4/10/23 > Windstar is good for 8pm pick up at universal 4/15 and 4/16. ___ BT FYI ___ BJS FYI 5/11/23: > BT finally had post trip debrief with John. > Local charters in PA - great. > BWI - check in - handed them a stack of boarding passes, not in alpha order. Got everyone their boarding pass. Attendants not super helpful at the airport. Little frustrating. Checked bag stands were sending kids toward security - whoah! Needed to wait and at least go in groups with a chap. Mass chaos. They eventually worked it out and figured out a good system. Not very accommodating. (on the way home at MCO - much smoother as they checked in and did bags individually). John understands that every airport is different. > Arrival in MCO - did have to call Windstar, some of them were "a little late". Supposed to get there at 10 - pulled out around 10:30. Not terribly late, but would have been nice to get our of there and to the park earlier. > Windstar in general was very good. Little confusion about where they were supposed to go for pick up in the morning, etc. Worked it out. > MK - went well. John took an Uber to hotel early to go through keys an hour early. > Hotel - probably the biggest mess was check in. He showed up - had all of the rooms in 4 stacks of keys. All separated by bus - just room # on them (no names) but had a spreadsheet with the names, etc. As he was going through - multiple envelopes with same room #s, some room #s missing. Kept finding more and more. So he just started making a list of the ones he was missing - and it was like 21 rooms he was missing. Nothing seemed to make sense as far as what their plan was. In hindsight - he should have taken a couple of other adults with him to help. Later on after kids showed up - they gave him a list and had changed some rooms. "Most stressful part of the entire trip." > Next time - maybe better to not do a park a day on arrival day. > After the check in fiasco - hotel was great, bfast was great. > Epcot good. Entry a lot easier than MK. Lots of hold up with medical person. > Universal - soooo much easier with security. > UO - worked out really well. > Workshops - went really well. Busing situation went smoothly. Doesn't necessarily think UO workshop is better than Disney, just different. > Flight next morning - cutting it a little close with time with early flight times. There was some kind of flight delay - not major. > Overall pretty smooth other than typical high school drama. He also needs to have some better communication with his colleagues. > Travel Cycle - not really sure. Has to talk with colleagues. haven't met as a department yet. they may decide not to do the trip has a huge group. Maybe just choir in 2025, then 27 instrumental groups and alternate. They need to make some decisions. Off years - if John does them - only a 1 or 2 night trip. Maybe an adjudication (Roxbury Invitational in NJ?). Band might be doing more things every two years. > General feedback for us - He didn't really like being involved in the "money situation" as much as he was. The refund situation was complicated and frustrating and not be able to give people their money back. Maybe next time - meeting about room lists and bus lists earlier. Provide a balance update before payments end in GC. Could have made up a reason to charge more. It caused a lot of turmoil and strife - ended up losing his truck drivers cuz they were pissed about paying for gas or something. This was a very positive conversation overall and we talked about how we can communicate better and make it work better for both of us. Now that he has done it, he feels better. > Side note - I think we might want to consider refunding pax directly via GC, with GL permission, up to a certain point in time. For example - have a cancellation request for an April 24 trip who has only paid $110 and is cancelling now. If GL wants to refund them...technically has to wait until account reconciliation in Feb. unless boosters want to front the $.
