Said something about the other company giving her 1:10 - but started at 1:25? I explained that we can do that, but rates would increase. I would rather help her do the math via the rate worksheet. Also encourage her to send me the quote and let me take a look at the language which I think she's gonna do! Don't want her to get taken advantage of. > Asked about contract and cancellation, so I explained that. She's concerned about signing a K and then the airfare being too much. I think if we could get reasonable airfare, we could lock this up. > She said Hartford or even Newark are possible other airports, but would then need R/T charter. > On break this week, going to share with colleagues next week. Will encourage her to share the other quote with me as well. > She seemed very interested in the FAM trip, concerned about RSVP date. I said we might have a LITTLE wiggle room if she thinks she's a pretty firm maybe, but not much. I'll stay on that as well. 4/29/19: > BJS and BT spoke about the client's desire to use us but is getting more comps (1:10 PAID) from our competition, so we decided to give her an apples to apples comparison of what they have included and can match their price. > BJS updated attachments as needed. > BJS ran rates and called it Apples to Apples QUOTE which is called Rev1. > BJS updated IOG and TO to Rev1. > BT, ready to share with client. Make sure she understands that we did this in order to give her an easier time presenting to her colleagues, so she will have a true apples to apples comparison. > Should they decide to make any upgrades / additional inclusions, they will be line items added to everybody's package and will not be included in the comps. So, for example, should the decided to go to a 3-Day Hopper and have 228 people on the trip, all 228 will be charged the $46 up-charge. Same if they add any meals that are not already included, etc. If we did not do this, we would continue to loose money on everything they add since there would be no way to account for these "free" upgrades when she knows that the difference between the Start and Hopper tickets is $46 for example. Also, can't very well charge more than $25 for a $15 and $10 Meal Credit, etc. 5/15/19: > BT shared urgency of hotel K per HMS. Need to get under K and $ collected before July 10. > Amy replied that it's "crazy this week", promised to get back to me next week. Mentioned they were still trying to figure out their numbers - may be more like 180. > I reminded her that she has the tiered pricing in her TO and the tiers are not a factor until final invoice - she has all kinds of time to figure that out. But we don't want to lose the hotel space. My thought is that since trip is not until May, most flights will be fully refundable at this point. We wouldn't have SWA options until after Sept. anyway so perhaps best to estimate on the high end? Her response: "I am almost positive that we can’t have some of the kids fly out until 5pm ( Albany) on that Friday due to testing. The test finishes at 3 and there is no way they would get to Newark by the 4:05 flight. They totally could get to Albany airport by 330 but won’t work." > There was a note about "after 3pm" in the very first note - but with having to bus to Newark if they end up with these flights, even the later of the two flights would not work "for some" since they would have to depart much earlier to get there in time. EWR is 173 miles = 3 hrs. non-stop from Shaker. > She asked if we tried Hartford as well - only 111 miles = 2 hrs. non-stop. > Obviously hoping SWA and JetBlue will have a better schedule (and possibly better fares) out of Albany, but she understands that holding non-refundable flights at this point is a good idea. Looks to me like only 1 student plus 1 chaperone would have to go after 5pm and maybe 8-10 of them would have to go after 2/3pm. The rest could all go earlier in the day which would maybe make the flights more accessible as well as cheaper. We could send most of the group much earlier and fly the last 10 or so after 5. Or divide the groups accordingly. Is it possible to again look for Friday flights from Albany within that scope?" > CD - since you started this one on FMG and CH hasn't taken over, perhaps you could update the parameters with FMG? I wanted to let you know that after we canceled the trip and our school closed, the office notified my teachers that the previous payment of $40,000 had not been sent to your company. The teachers were certain that the check had been sent, but apparently there was a mixup in the office of which we were unaware at the time. I recognize that your company is working through countless contracts and cancellations with multiple vendors. We look forward to hearing about the results of your calculations after confirming the parts of our trip that had not yet been ordered by you as of March 12th. I wanted to write to let you know that we are now aware of the difference in payments from what we previously thought was sent. We are obviously waiting to hear from you at this point, as many adjustments to the total trip cost and the amount we would have owed your company have obviously occurred since.
