11/28/16:
>  BT met Chris at VMEA, he and daughter came to happy hour.
>  BJS and BT decided he would be apple watch winner.
>  BT updated client and contact info.

12/19/16:
>  BT flew to Richmond to deliver Apple Watch.
>  Met Chris and his son and took them to lunch at the airport.
>  Had a nice chat about travel.
>  Wants to do a cruise next year - prob a small group.
>  He said he mentioned us to his orch director about her trip. Will follow up.

3/24/17:
>  BT has been going back and forth with Chris re: cruise in March 2018.
>  Will likely involve students and directors from his school as well as James River HS and Midlothian HS.
>  Want to cruise out of Charleston on March 30, 2018. BT investigated dates and rates with Lawrence from Festivals at Sea and Megan at Cruise Festivals. Megan only handles Royal Caribbean, so if we use her we would go through Four Seasons tours for Carnival. I have all of the info from both for when/if we get started on this.
>  In my back and forth with Chris, I asked and found out the following:
>  3 schools - Manchester, Midlothian, and James River HS
>  He estimates about 100 to 140 students and 20 - 30 chaperones.  I base this on 30-40 from Manchester; 40-60 each from James River and Midlothian
>  I think we are all on board for just a performance only on the ship. Maybe two ensembles (band and orchestra). 
 >  They are only allowed to use James River, Newton, and Winn for charters. They may take care of charter on their own.

"We have not yet received approval from administration yet since we have to give them an expected cost per student/chaperone in the request.  We are seeking quotes from other companies.  As far as cost, as low as possible is always the best.  We understand that this ship has to be paid for, I guess it really just comes down to who can offer the best and most inclusive service for the price."
>  After this, he then came back and asked about departing from Jacksonville on 3/29. Here is my response - I hope you like it. Hopefully I didn't scare him off - but fuck him, we gave him and Apple Watch for fuck's sake!
"Chris, I don’t think having multiple performances on the ship will be a problem. The only reason I asked is that there is an up-charge if you want an adjudicated performance. These are details that can be worked out closer to the trip.

You mentioned Port Jacksonville. I assume you mean Jacksonville, FL. Please clarify. 
I can tell you that we can only secure a charter quotes for one destination at a time. Of course, if you book charter buses on your own this won’t be an issue. Since I mentioned that almost all of our work is done on providing you with a complete Trip Orchestration from the proposal stage, I’m going to suggest that we complete this for your preferred port of departure, which I believe is Charleston which is a 5 night cruise.

That being said, the cruise out of Jacksonville that departs on 3/29 is only a 4 night cruise. So it will likely be the less expensive cruise option by about $150 to $200 per person. However, your charter transportation to get there would likely be higher. Plus you may have to build in an extra meal en route for the bus trip to and from Jacksonville. So what I really need to know is which cruise do you want to go on?

As you know from our conversation, we’re not the tour company that pulls trips off of a shelf and throws quotes at our clients. In fact, I would be surprised if the other companies you are seeking quotes from have asked you for the amount of detail this far in advance that I have asked you for.

We want to work with you to provide the trip you want. I can understand that you are shopping around to get multiple quotes to be a good consumer, but I think you know from your experience with us and our personal conversation that we are going to offer you an outstanding value for the money. The prices of cruises for groups do not vary wildly. While you may see a difference of a few dollars between quotes, the questions become who do you trust and who do you want to have a long standing relationship with?"

4/3/17:
>  BT heard back from Chris re: cruise.
>  Now they want to depart April 12, 2018 from Jacksonville.
>  Between the three schools, they could have 80-160 students and 10-20 adults.
>  His email to me and the other directors is below - we should talk about this next week and discuss how/if to proceed. It's clear that they are getting multiple quotes (as I was BCC'd), sounds like whoever he's asking for quotes from was on the BCC line - but is appears that some of his wording in his email was inspired by my response about quality and value and what makes CCIS different. On one hand, kind of a pain in the ass - on the other, 3 potential new clients (one who has an apple watch).

Good afternoon ladies and gentlemen.

I am writing this request on behalf of myself as band director of Manchester HS, Gordon Rawls - band director of Midlothian HS, and Justin Turpin - band director of James River HS.  We greatly appreciate all the attention and all the responses we have received as we are in the initial steps of planning our 2018 Spring Trip.  As you may recall, we all have been inquiring about price, dates, cruise ports, excursions, and many other details surrounding the trip.  We finally have been able to sit down and discuss some of these details amongst ourselves and have come to the following agreements that we would like to present to you all so you may be able to provide for us the most accurate quote possible.

This quote request is being sent to many different companies / individuals (hence the use of BCC).  As you can imagine we are looking for the best rate possible, but also the rate that offers the most service and meets all of our needs.  So with that in mind I am requesting, along with your quote, information as to what separates your company from the others.  If you have already sent us a quote for this date, we respectfully request you re-submit your proposal / quote reflecting the provided information so we have the most up to date quote possible.  Following is information including the date we would like to set sail, port from which to sail, and highlights of what we would like to do.

A sample itinerary is not needed at this time, but it can be helpful.

According to this cruise's itinerary, the ship would dock/depart Freeport, Bahamas on Friday, dock/depart Nassau, Bahamas on Saturday, day at sea on Sunday, and return to Jacksonville on Monday.  With this in mind, we have the following requests (if possible) for these ports of call.  Please note, we DO NOT want to do more than one performance while in port; so, if we perform on one day, we would like the excursion on the other day.

Friday - Freeport, Bahamas (one of the following options)
Band performance dockside or in the square of shops right near the port followed by port-side shopping / sight-seeing
Excursion to a private island similar to the Blue Lagoon Island in Nassau, Bahamas
NOTE - we MAY be open to do a performance AND excursion in Freeport if there is little to see/do (since it is essentially an industrial port).  If this is the case, we would like to leave Nassau completely open for sight-seeing and shopping (feel free to make recommendations though).  
Saturday - Nassau, Bahamas (one of the following options)
Excursion to the Blue Lagoon Island in Nassau, Bahamas
Band performance either dockside or in the town square in Nassau, Bahamas
Sunday - day at sea
Rehearsal / performance for the combined orchestras that should be attending the trip.

Beyond what is listed, we are interested in a joint party (maybe karaoke) for all three schools (combined).  For bus quote purposes, we would plan to leave from Manchester HS (subject to change).  With the combined high school bands and orchestras, we are looking anywhere between 80 to 200 total students.  By getting an early start in this, we are hoping to give ample time to raise funds and for families to prepare.

When providing a quote, please include necessary travel insurance (if applicable) and gratuities.  We would like a proposed trip cost for students and for chaperones (students should be quad occupancy and chaperones double occupancy).  Please also consider that an additional room will be needed to store larger instruments.  We respectfully request that a separate quote be provided for bus transportation (just the bulk price - we will adjust as needed for the number of participants).  Chesterfield County Public Schools currently allow us to ONLY use James River Transportation, Newton Bus Lines, and Winn Transportation.
