> SN reached out via EM to Linda regarding plans for a 2018 trip.

7/10/17
> Linda and SN have been communicating via EM about meeting this week to discuss upcoming travel.  She says the choir, band, and orchestra are all going to Virginia and all want to use the same bus company, stay at the same hotel, and go on a dinner cruise together.

7/12/17
> SN met with Linda today to discuss an upcoming VA Beach/Williamsburg trip.  
> The band, orchestra, AND choir all plan to travel to the same destination at the same time.  The band is likely doing the International Tattoo and is already using PAC for their travel arrangements.  The orchestra is planning on participating in Fiesta-Val, but currently does her own arrangements.  SN suggested to Linda that perhaps the choir and orchestra could travel together since they want to do so many of the same activities.
> Linda wants to do the following:
  * Perform at a VA hosptial
  * Clinic at William & Mary
  * Spirit of Norfolk Cruise
  * Virginia Beach time
  * Williamsburg free time & dinner at a location in Colonial Williamsburg
  * Busch Gardens 
  * Captain George's Seafood BUffet
  * Hotel property with suites
> Dates would be 4/25-28, 2018, when they get approved.
> Orchestra may consider going with the choir.

> SN texted Linda, requesting a meeting time either next Wednesday afternoon or anytime on Thursday, to discuss this trip, since it has organizational challenges stemming from the other ensembles.  SN asked if the orchestra director could be present at this meeting as well.
>  OD is not interested in doing anything until August.

7/18/17:
>  BJS asked SN how many pax Orch might add and the reply is another 2 buses possibly (90 - 100 pax).

OK, I was going to go ahead and start this and do two scenarios, one with the choir at just her typical 50 - 55 pax and then another with the Orchestra added in for a total of 150 or so.  But, we don’t have times of departure or  return and I am not sure we know how many hotel nights they will actually need. Also, does she want to stay in Williamsburg or VA Beach?  Our hotel options could  also be very different not only based on location, but also if they need rooms for 50 or 150 people.  Then, if they all want to stay in the same hotel (Band, Choir & Orchestra), thats an entirely different thing since we have no idea how many pax are in the band and if they are already going with PAC, this will be damn near impossible to coordinate.  [I can pretty much guarantee you that they will not all (B,C , & O) be abel to stay in the same hotel as there are not that many hotels in VA Beach or Williamsburg that can accommodate that many students.  Same holds true with buses - how many am I going to need and for what days since travel times are somewhat unclear.

I don’t want to become a bother to Linda, but at the same time I don’t want her trip to be less than amazing because of some what ifs and maybes brought about because of the band & orchestra.  For example, I know she likes Baron’s buses - what if they have 1 bus available. I’d like her to have it for her trip, but if we wait for the O in two weeks, and we need 3 buses, there may be no buses left for anyone.

I think if you can have a conversation with Linda, not an email or text message, in the next few days, and express to her our indecision about waiting and how we don;t want it to affect the Choir’s trip, then we will proceed as she wishes - either     1. go full steam ahead to get her trip done and concentrate on just her group, or    2. Wait until the Orchestra Director is available to discuss and we’d do a combined Choir & Orchestra trip.     My preference would be option 1 so we get the past trip possible for her and not really concern ourselves with anyone else.   If that is her preference as well, make sure you get depart and return times so we can get on it ASAP.

>  SN and Linda have had intermittent contact via text regarding discussing this trip in further detail.  Linda says she feels the orchestra director is interested, but has been putting her off regarding when they can meet and work out details. The issue lies in the fact that while she waits for the OD, her plans are being delayed.  
> We have already received an advance deposit on 8/14/17, so while there is not worry about whether they will travel, there is concern about the late start we are getting in the planning process.
> Linda stated on 8/18 that she did not want to try to work on this until September, so SN sent a text this morning asking for an appointment.

> SN EM'd Linda to set up a time to discuss next year's trip

> SN met with Linda regarding next year's trip:  
> NYC probably 4/24-4/27
> No Today Show or Chinese food
> Yes to St. Paul the Apostle, Jane Carousel, 9/11 Memorial, Top of the Rock, and Radio City
> Yes to a Broadway workshop and TWO shows if there is time (possibly one matinee?)  ** Linda has a colleague who might be able to get inexpensive tickets to a show, but she will let us know ASAP
> Shopping on Canal Street
>  Needs to get approval before they can collect money or even start anything, so it could be into July before we can really do much.

> Linda EMd saying she can have an invoice sent now. SN is confirming trip details as discussed in June

7/31/19
>  Pre-trip planning meeting with Linda scheduled for 8/7 @ 10am at the Panera in Boardman.  Possible Universal trip with the Orchestra.  Orchestra director is tired of doing trips on her own and would like to travel with the Choir now.

8/7/19
>  Linda wants to do a 3 day Universal trip, possibly with the orchestra as well.  No performances, just workshops/clinics. Dates will be either 3/5 - 3/9 OR 3/6 - 3/10.  
>  She is going to get the dates approved by her admin and confirm with the orchestra director that they will be joining the choir.  
>  She will use suite hotel properties if available.  
>  They will almost certainly travel by bus.  She'd like to use The Hub on arrival and would like the park days to be Studios and Islands of Adventure for the first two days, followed by Volcano Bay as the last day. 
>  Linda also EM'd saying she will be making her usual advance deposit.

8/9/19
> Linda texted suggesting two sets of dates as a possibility:  Feb 13-17 or March 4-8.  The February dates might be better, both in rates and crowds since that is right around the time of President's Day. 
>  Also, they are estimating around 54 for each ensemble (including adults) so this would be more of a 2 bus trip.

8/19/19
>  Linda says via EM that she is likely going to speak to her direct supervisor today about the approval process.  She was warned it might take awhile.  SN requested Linda share a rough idea when this approval may happen so she can check in at an appropriate time.
