>  Great conversation with Beth about Orlando 2017
>  she is leaning toward MLK dates, Jan. 15-19, 2017. Will probably just be her choir for this trip. There is a chance it could be entire Music Dept., but probably not. If rest of dept. does their own trip, she will encourage them to plan with us. 
>  She is interested in Workshop and maybe performance. 
>  She is going to firm up dates, # of PAX, and get back to me by end of Sept.
>  She had a question about weather cancellation issues with traveling in January. I wasn't sure how to respond.
>  She also mentioned cost difference of flying. Apparently Allegient Air flies out of Hagerstown to Orlando on Sundays and Thursdays. Another group she knows is doing this, but for cost she would probably bus.

9/9/15:
>  We have had groups have to cancel in the past due to weather (snow / ice storms week of trip, etc.
>  When this happens (3 times in 23 years), we have always been able to reschedule later that same season, almost always within a week or two of the original trip dates.
>  Rates would obviously be based on availability and in all three previous cases, there were some changes, but rates were never changed by more than $20pp.
>  Flying is an option, but know way to have these rates until approx 11 months prior to trip.  It is always higher, but can definitely be pursued, just impossible to know rates too far out.
>  If they go as a department with CCIS, we will be able to offer a more significant discount, so encourage this!!!

1/7/16:
BT met with Beth (and Cara - BD via phone) re: Orlando 2017:
> Went through Prezi. Beth has been with us before. Loves us, only wants to use us. BD is new, any pushback would be from band boosters (more on that below). I don't see a problem.
> 2 possible dates - Jan. 14-21/22, 2017 OR April 7-12, 2017. Leaning hard to Jan. dates.
> For approval, actual K has to go to school board. But can get "tentative approval" from principal and already have this for Jan. date.
> Desire is get to K sometime this March so all get through the process before end of year.
> BUDGET - less than $1K (but Cara said less than $800). Beth and I talked at length about the reality of this budget based on the desired length of their trip. She fully understands that it may need to be shorter and that is ok. Once we have a realistic idea of what length will fit in their budget, we can do proposal based on that.
> 70 students + 20 adults (+ Tara's husband and 2 kids and Cara's husband and 2 kids)
> They want "parallel but intersecting trip". Basically, band and choir have always travelled separately. These 2 directors are trying to change this culture, but band boosters are pushing back. It's a longer story...but that's the cliff note version. I told her any band/choir activities can be separated out in itinerary as necessary.
> NOs - no competition. BD wants little downtime at hotel
> Like workshop and performance options at Disney. I directed them to the Disney website for descriptions.
> Want a park hopper.
> Property - Beth and I discussed on property, Buena Vista, and Radisson. She seemed to think with a hotel like Radisson - some free time would be okay since kids could be occupied. They will discuss and advise. Cost will most likely be determining factor.
> Like Bollman Charter in Everett, PA. NO ATLANTIC COAST CHARTER.
> BJS - once we discuss and figure out realistic length of trip for her proposal, I'll create a new client called "Clear Spring HS Band and Choir" and add the trip.

1/23/18:
>  Cara reached out re: trip for next year. We had a lovely phone conversation today.
>  1 bus. 30-45 students, 5-8 adults. I think we were happy with Bollman last year
>  need ideas to get "approval" to take a trip.
>  big spike in kids in band on trip years. Trying to even out and travel every other. lots of kids quit after Disney trip year b/c no trip this year.
>  needs broad estimate of $. 
>  needs a performance - more concert than marching this time, maybe more than one concert to attend. Not necessarily competition...overwhelming.
>  probably more local than originally. 
>  BT pushed the clinic route - she thinks it sounds really good.
>  Clinics along with going to a performance. 
>  Percussion equip? Trying to keep from bringing tons of stuff.
>  Still kind of interested in Pegasus parade. They do lots of parades. Never done a big one. May? note sure about date with principal. Probably not.
>  Budget - parents said last year's trip was more than they had been in a long time. $600 max for this one?
>  Needs a monetary estimate to show - then she can go to boosters for financial help. They're on board with trip every 2 years.
>  send Williamsburg and Philly itineraries. DC? lots of free stuff - they never tend to go there even though they are close. Maybe DC on the way to somewhere else?
>  She's going to try to land on some dates and a destination so we can do a JPP to get her started. Based on our convo, I think this is the best route since nothing is set in stone yet.

5/14/19:
>  BT had a lovely convo with Cara and Cheryl - band booster parent - taking over Tara Clark's role with trip planning.
>  Very beginning stages of 2021 trip planning.
>  Like to consider a place other than Disney. Kids may want Disney though.
>  this is their "big" trip comparable to their 2017 Disney trip. $900ish.

>  Not sure of time frame yet. New principal.
>  Booster parents who would like to start a payment plan this summer. Hmmm...we would have to be under K to set up Tilly.
>  Really psyched about Tilly!! - maybe that was the "issue" - she said I just made their day when I told then about that.

>  The issue - Struggles trying to isolate their costs. Have been VERY happy with the trips with us.
>  Feel like they don't know what the final cost is until the final invoice. Hard to get families to pay on time, part of the issue. Or maybe she sucks at math?
>  Seems like with advance planning, managing deadlines, rate worksheet/Tilly, and charging a surplus - all should be good. 
>  Sent a couple IOGs to give them some ideas in other destinations.
