Please see attached. Per our conversation yesterday afternoon, I have complete a PTP to Sandusky, including Cedar Point with Music in the Parks Competition Participation. As you suggested, to be on the high side since you are not yet set on destination (Sandusky, Hershey, or Niagara Falls), I included the Kalahari Resort & Indoor Waterpark for your group’s accommodations.  We have a group from NJ spending three nights at the Kalahari this weekend and also doing Music in the Parks. As you can imagine, Kalahari is a huge hit with the students! It is also more expensive than a typical hotel, so I thought it would be a good place to start in order to be on the ‘high side’.

Since we are not exactly sure of dates or destination, I based these prices on the exact rates the group from New Jersey is paying this weekend. MITP will not release their rates and packages for 2013 until July, so it is impossible to guarantee rates at this point, but again, this should give you an idea and allow you to see if the interest is there for such a trip.

As for coaches, based on current fuel rates, I would expect the charter to run between $2,000 - $2,400 / coach, again, all dependent on actual travel dates and destination.

Hi Stephanie!

I hope this finds you well. I'm writing to get the ball rolling on a potential proposal for our Florida trip in the spring of 2014. I'll list some basics so you have some things to go on. But first, I'm curious to know if there's anything "new & exciting" that bands have enjoyed on recent trips to Florida. Having done this trip several times over the years, I'd like to avoid making this a "cookie cutter" trip for me or the kids if possible.

I thought I heard something about Disney embarking on a huge expansion of some kind. I don't really know anything about it, what it entails or when it might be done.

So aside from exploring anything "new", this is what we know so far.......

1. The band is currently around 110 kids including some 8th graders, equipment managers, etc. I don't know how many we have coming up just yet. And of course, not all of the kids will attend the trip. So let's use 100 kids as a planning #. 3 staff comps. 10 chaperones.

2. The last time we went to Florida, we did the "Magic Music Days" parade in Magic Kingdom and Festival Disney adjudications for Concert Band & Jazz Ensemble. There were a lot of issues trying to coordinate things with MMDs and FD. Unfortunately, these two organizations function independently and don't care much for the other. We had issues with trying to bill us for kids who weren't in certain ensembles but still needed to be with us as a group since we travel and do everything as one large group each day, etc. Plus the performances are scheduled by them without consideration of each other or how this may impact our overall itinerary. Needless to say, I'm already a bit stressed with how this will all work out.

Anyway, we need performance opportunities and possible adjudications. Every kid is not in every ensemble. So we have to plan multiple performances so everyone winds up doing something. As I mentioned before, we've done Parade Band, Concert Band and Jazz in the past. I'm open to some of the "backstage clinics" offered as a choice as well. It all depends on what we'll be able to fit in and afford.

3. We don't need to stay on Disney property, in order to save $. Though I do want a reputable hotel with hot breakfasts, no external balconies, and a heated/indoor pool if possible. Boys on one floor, girls on another. Me on a different floor altogether.

4. The option of flying always comes up, until I explain the additional cost of renting coaches for a-to-b transportation once we're down there. I'm not seeing this as possible, but getting an estimate on that cost would be good to have for conversations with my boosters. Are those double-decker mega-busses and option? We normally have to rent a box truck to transport the equipment & uniforms, etc. Not sure if we'll be able to do without that next year or not.

5. Parks..... Going for the most cost-effective approach here. Feedback from the last trip indicated some growing dissatisfaction with Epcot. Not sure if they've added anything new/current lately. We haven't done the Animal Kingdom in the past. This might be a nice addition for us. Not really interested in the water park. We won't be traveling super late in the spring, so I'm not sure what the weather will be like anyway. Magic Kingdom is a must. Hollywood Studios or Universal? Suggestions?

6. Timeline.... The district calendar for 2013-2014 won't be adopted until mid-March at the earliest. We'll shoot for a 4 day, 3 night trip. Possibly 5 & 4 if we can afford it and can line it up with a break in the calendar so the kids do not miss too much school.

7. Other activities.... We usually like to have at least one nice "outside" activity, whether it be a dressy dinner out, or something like Medieval Times, etc.

8. Inclusions.... All meals and/or stipends while at parks, rest stops, etc.; overnight security; tips & gratuities (except for drivers - boosters will handle that one); festival fees, etc. Basically, what we've tried to do is include everything but spending $ for the kids.
