I know that some of the confusion experienced over the past year or so may have come as a result of my being less involved with the SVHS Choir account. >  Email from Maria Matchett - parent trip coordinator, navigating director changes: "For next year, the directors are looking to participate in a festival/competition (dates of 4/22-4/25 with the potential to leave overnight on the 21st). There would be 7 performing groups. Some of our requirements are no flights, a mandatory 10:1 ratio of students to comp, not Florida (at least for 27').  They would also like a day at an amusement park."

## Competition & Festival Options
- Directors emphasized need for high-quality competitions, but many available options are adjudications without guaranteed competing schools
- Performing Arts Consultants (PAC) Festival in Norfolk tied to Virginia Festival of the Arts is well-attended with multiple competing groups
- Festivals of Music (high school focused) and Music in the Parks (middle school focused) are parent/child companies with different scales
- No festival company can guarantee other schools will compete; some groups accept "meaningless hardware" trophies as part of the experience
- College clinician-led workshops are cost-effective alternatives.
## Destination Considerations
- Viable festival destinations for their April dates include Norfolk, Williamsburg, New York, Toronto, Gatlinburg, Chicago, Myrtle Beach, Boston, and Hershey

## Budget & Trip Priorities
- Target budget is approximately $1,200 per student
- Recent trips (Gatlinburg, Dallas, Universal) were pricier; directors want more budget-friendly options
- Festival fees ($100-140+ per person) substantially impact total budget and consume significant trip time
- $1,200 all-inclusive budget may feasible for Boston or Williamsburg without festivals or with clinician-based alternatives
## Staffing & Decision-Making Challenges
- School experiencing leadership transitions: longest-standing choir director retiring, one director left last year, only one director has multiple trip experience
- Directors want to see options rather than follow established patterns from previous tour company
- Need to clarify director priorities: competitive experience vs. overall musical experience vs. travel experience
- Some directors may be married to amusement park requirement without realizing it's negotiable
- Maria taking official role as trip coordinator after director meeting

They have definitely settled into the DC/VA area. I think the best scenario is a good venue, actual choral adjudicators & having competition. Do you have a sense of whether Festivals of Music hires choral adjudicators and if there will be competition from other schools. In looking at PAC/Norfolk this past spring, there was only 1 choral group & of their 5 adjudicators, only 1 had a choral background.

Also, do you know if the Heritage (Worldstrides) festival in Willamsburg has a choral portion & where they hold it?

"Hi Maria,

Festival companies generally hire adjudicators based on the number and types of ensembles that register for their festivals at each site. It’s impossible to know how many schools and ensembles will be signed up for a given festival. I would say that, in general, the PAC event in Norfolk is band heavy because of the Parade of Nations opportunity. But we have a choir client from Ohio that attends it regularly. I know that we had two clients at the PAC event in April and between them there were at least 6 choirs competing.

As for venues, Festivals of Music lists local high schools for both their DC and Virginia festivals. PAC uses Chrysler Hall for their Norfolk competition.

Heritage does not list performance venues on their websites for their destinations. In my experience, they have used local high schools. Because they will not sell us a “festival only” package and we can’t be in control of the group’s hotel accommodations, our clients rarely, if ever, go to their festivals. We can certainly work with them if that’s what you decide you would like to do. Based on our experience and feedback from other clients, many of the hotels they use do not meet our standard of quality.

We have a good rapport with our colleagues at Festivals of Music and PAC and can make it known that multiple choral adjudicators are desired for your group. Since you would be brining 7 choirs, that should be motivation for them to accommodate.
