Mike has been with the band for 5 years.  He has a son who will be a Junior next year.  He is someone with whom if I  needed an opinion that I knew I would get a straight answer, I would go to him.  I recommended him for this task to Wes and Wes agreed to give him the trip coordinator job.  
He is the President of The Associated Schools Employees Credit Union and Austintowns Fiscial Officer. Also, he and his wife are good friends with Dave and I.

I understand that there will be a trip to Orlando next year and was wondering who would be the best contact regarding this trip?  It is always good to plan early, and as you know CCIS has early incentives to get started as soon as possible!

Dear Booster President:
In the past, CCIS Travel has been a sponsor of your Band Night and we would like to continue with our support of your program again this year. As you are aware, we at CCIS Travel have made several attempts to contact you about this coming year’s trip and to set up a dinner meeting with you and Brad, as well as other important booster parents.  Unfortunately, we have not been able to make this happen.  We understand you are considering other companies to see if you can get a better deal.

Our association with Fitch High School spans nearly 20 years; and with the band specifically for the past eight years. In light of this long history, we would appeal to your sense of integrity and fair play to allow CCIS Travel the opportunity to provide you with a comparison quote for the same trip, over the same dates, with the same inclusions.

By inclusions, we mean the exact same hotel, restaurants with menus, same charter options, attractions, and events, etc.   Regardless if you are exploring all-inclusive options, or want to leave some of the expense with the students, we are confident that with a true apples-to-apples comparison, you will see the value and quality we have provided to the Fitch groups over the past 20 years.

Dear Mr. Stevenson:
 
Once a decision is made for the location of our band's 2016 trip we will forward you the location and events that you may submit a price on.  We will not send you all the details for an item by item match, in our opinion coming up with those options, suggestions and opportunities would be part of the travel company's duties and why we would select one over another.  
 
Since you stated that you are appealing to our "integrity" I feel it is necessary to make sure you are aware of why we are looking other places.
 
You are aware, as we have discussed in the past, our disappointment in the services you have promised and provided to our students in the past two years.  We are also disappointed in finding the comparable costs that our band students paid for their Florida Trip three years ago when compared to the costs other local bands' paid for Florida trips just this past year.  Those are a few of the reasons why we are seeking offerings from other travel companies.  The unforgivable breakfasts in Norfolk this past year were about the most blatant example of twenty years of a business relationship appearing to be taken for granted. Our band members walked past two other bands' breakfast buffets that put the breakfast as listed in our itinerary to shame (had we even received that listed breakfast).  A bowl of rotten bananas were the "sliced fresh fruit."  The year before, our children's lives were at risk by a bus driver that was in no condition to make such a trip.  As a result scheduled events were missed or jumbled around.  That led to a less that satisfactory experience for all involved.  That was not acceptable.  So, as we proceed, we will be looking to the "integrity" of the entire experience that we are providing to our children.

Thank you for your reply; however, I would like to clear up two apparent misunderstandings. First, the breakfast on the first morning this past year in Norfolk was horrible and as soon as we were made aware of the situation, we worked with the hotel and did what we could to remedy the situation in an expeditious manner. The hotel, including the General Manager, who I understand spoke with Wes directly, accepted full responsibility for their mistake.  If there was an issue on the second morning, we were never made aware. As for the breakfast menu itself, as a cost saving measure, Wes is the one who elected to do a Continental Breakfast in place of the Full American Breakfast Buffet you may have seen other groups enjoying.

As to integrity and our commitment to our clients, rest assured we never take a client for granted. We are disappointed in your pointing blame on us for bus situation you encountered on your trip to Myrtle Beach in 2014. Even though we did not make the charter company choice - we provided the Directors with quotes from 4 different companies – during the trip we spent a considerable amount of time on the phone with Lakefront Lines trying to remedy the situation. Following the trip, we continued to work with the charter company and were able to recover a $1,000.00 refund for your group, all related to a charter company choice we were not responsible for.

You mentioned that you heard what other group’s paid for their Orlando trip.  In order for a true comparison to take place, you would have to know their exact inclusions.  What hotel did they stay at? What Disney ticket their package included? Did you know there are three different types of 3-day Disney Performing Arts tickets alone? Was their package all-inclusive and was the entire group able to literally go on the trip without any cash in their pockets? Where did they eat and what were the menus? Did they have a choice of charter companies?  Did they get to pay for the buses as a line item or did the tour company include it in their per person package rates?  If it was the latter, do you know that the tour company could have pocketed thousands of dollars in hidden profit? (see attached). Did their package include any comps and “added value items” (Group Travel Video, Scholarship Program, CCIS Rewards Program, etc.)? Were their arrangements all confirmed and guaranteed prior to the group ever seeing their proposal or did they have changes, such as a different hotel or a price increase after they saw their proposal, or even worse, after they signed a contract?

It is for exactly these reasons that we have asked for a list of specific inclusions for your next trip. We are more than capable of planning a fantastic trip to any destination and can provide you with plenty of ideas on what to do; however, we don’t pre-package any of our trips, but rather customize the itineraries to include exactly what YOU want included. Unlike the other companies, we make certain that everything is confirmed and guaranteed before you ever see it, even in a proposal.  If a lower budget trip is what you prefer; we can definitely provide this. I encourage all of our clients to look at proposals from many different companies – see what you like and what you don’t like from all of the various proposals and then let us know what you would like included. We will build that trip for you at our best price.

Again, we would love to sit down with you and your parent organization, in light of the fact that in the 6 years we worked directly with the parents, there were never any issues and problems only arose once your directors took over the decision making on the last two trips.
